Vapi Assistant Production: Squads, Overrides and Call Reports
Watch the LeadOro AI Voice & Conversation Design playlist
A Vapi demo can answer a question and book a slot. A production assistant also has to handle different jobs, send useful call data to the rest of your stack and behave consistently when callers bring background noise or unexpected answers.
Split work when the conversation has distinct jobs
One assistant can handle a short, linear call. When qualification and booking require different instructions or tools, separate those responsibilities and define the transfer condition in plain language. Vapi’s Squads documentation describes multi-assistant calls and handoff destinations. Test the handoff with a yes, a no and an unclear answer. A vague rule such as “when the lead seems ready” leaves the model to invent the boundary.
Use a saved assistant as a reusable base when only the caller name, business details or campaign context changes. Pass those values as validated per-call overrides; don’t fork a new assistant for each contact. If the configuration itself changes for every request, a transient assistant may fit better. Vapi documents the security implications of transient server URLs in its server authentication guide.
Treat events as an integration contract
Send call lifecycle events to a server endpoint that verifies the request, records the provider call ID and acknowledges quickly. Then process the event into your CRM or database. A call-end report should extract fields your workflow can act on, such as outcome, requested callback time and booking status. Keep the transcript available for review, but don’t make staff read every transcript to find one field.
Tune against real calls
Review cost by component, tool failures, silence and caller interruptions. Change one setting at a time and compare calls with similar goals and noise conditions. A fast model that causes more repeats or transfers can cost more per successful outcome. Use a small release checklist: sample calls, handoff results, required fields, latency and total cost per completed task.
Vapi’s feature names and dashboard paths can change. Use its current documentation when building, and measure your own account’s call behavior rather than relying on a demo or a benchmark.
