Postgres, Airtable, Sheets or a CRM: Choose by the Work

A database choice changes how your team captures, updates and audits lead information. Start with the people who use the records each day and the mistakes the system must prevent.

Use a relational database for enforced rules

Postgres can enforce required fields, uniqueness and relationships between records. That makes it a strong fit when software writes data automatically or when duplicate and orphaned records create operational problems. The tradeoff is that someone must manage schema changes, access rules, backups and queries. PostgreSQL’s constraint guide shows how these rules live with the data.

Use a spreadsheet when people need direct editing

Sheets and Airtable make it easy for a small team to inspect and change rows without a developer. That can be the right choice for a lightweight process with modest volume and clear ownership. Before using one as an automation backend, check its current API limits, record limits, permissions and behavior when two updates happen at once. Those limits change by product and plan, so read current vendor documentation instead of relying on old comparisons.

Use a CRM for sales workflow

A CRM gives sales teams familiar contacts, stages, tasks and activity history. It may not be the best place to keep every transcript or raw webhook payload. Store operational events where they belong and link the relevant summary back to the contact or deal.

You can combine these tools. A CRM can own sales stages, Postgres can enforce the application’s data model and a spreadsheet can support a temporary review queue. Define one source of truth for each field and document how changes sync between systems.
