Log AI Call Outcomes Back to Your CRM
Watch the LeadOro Backend & Infrastructure playlist
A call can go well and still disappear from the business workflow if its outcome stays in a voice-platform dashboard. Write the useful result beside the lead record so the next person or automation can act on it.
Define the fields the team will use
Choose a small outcome schema: provider call ID, lead ID, completion status, callback request, booking result and a transcript or recording reference when appropriate. Keep raw payloads only when you have a reason and a retention policy. Validate each extracted field before it changes a CRM stage or triggers a message.
Handle retries without duplicating calls
Webhook providers can redeliver events. Store the provider event or call ID under a unique constraint before triggering side effects. If the event already exists, acknowledge it without sending a second follow-up. Stripe’s webhook guide describes duplicate and retry behavior for its platform; confirm the retry schedule and signature method for your voice provider separately.
Make failure recoverable
Acknowledge after durable receipt, then process the CRM update asynchronously if it may take time. If the CRM is unavailable, retain the event with an error and retry it. A dead-letter queue or failed-event table gives an operator a place to inspect and replay records that still fail. Alert on age and count of unprocessed events.
Check the full journey
Test a completed call, a voicemail, a transfer, a repeated webhook and a CRM outage. Confirm that the lead’s existing history remains intact, the same call appears once and the CRM stage reflects the intended business outcome. Then reconcile provider call IDs against stored events on a schedule.
The integration becomes useful when the next action can see the latest call result. Keep data access narrow, protect transcripts and recording links, and use the CRM’s own API documentation for the fields and update semantics you depend on.
